Setup your desk phone Voicemail
You should setup your IP Desk Phone to personalize your greeting and your "Self ID."
If you don't know your current Voicemail PIN, you will need to put in a help desk ticket and ask to get the "Phone system welcome email" resent to you.
- Set your Self Identification Message (it is important that you do this). This should be your name only i.e. "Bob Builder"
- Press the [Messages] button or dial x9999 on your IP Phone
- Enter your current assigned PIN
- Press [9] for the options menu
- Press [5] to record your Self ID Message
- Follow the prompts. Make sure you only record your first and last name.
- Set your personalized greeting that callers will hear if they get sent to voice mail. See suggestions below.
- From the Options (9) menu
- Press [8] to record your greeting
Follow the prompts
To access your voicemail remotely you can call 888-256-3710 from any external phone or have someone transfer you to 9999.
Suggested Script for your Voicemail Greeting
“This is Bob Builder with The Christman Company. Please leave a detailed message after the tone, and I’ll return your call as soon as possible. If you have called during business hours and need immediate assistance, please press zero to reach a receptionist. Thank you for calling, and have a great day.”
Optional: add specific project name, department or group name, i.e., Project Planning Group or Accounting Department, such as: “This is Bob Builder with The Christman Company Project Planning Group.”
Also, if specific administrative support is available, instead of telling them to press zero for a receptionist, you can say this: “If you have called during business hours and need immediate assistance, please press (VoIP extension #) and ask for __________.”)
