What is a ClickShare?

With ClickShare you can easily share your device(s) screen on the conference room's display screen(s).  In a room with dual screens, the room is probably setup with the ClickShare CSE-800 which actually allows up to 8 different devices to project to the screens at once in a split-screen mode.  In a room with a single screen, it is probably setup with the ClickShare CSE-200+ which allows up to 2 different devices to project.

Each conference room is unique and the available options in each room may vary.

Connection Options - Overview

The ClickShare is designed to make connections to the displays easy.  There are options to use "MiraCast" which is built into windows using the WINKey+K, you can use an app from Barco, you can use ChromeCast, or you can use Apple AirPlay.  Most rooms will also have USB Dongles that can be used and will probably give you the best connection experience.  Some rooms may have direct HDMI connection options as well.

Using the Barco ClickShare USB Dongle

Plug the dongle into your laptop’s USB port.  When the light-circle stays on solid it should be ready to go. Click to present, click again to stop.  Long press the button to force your screen as the only screen on the display(s).

Windows security may prevent the necessary application from automatically running.  So if the light-circle does not say on, you may need to run “ ClickShare_for_Windows.exe” (or the MAC version) from the ClickShare USB drive.  The ClickShare device should show up as a USB drive with these files. There is nothing to install, but this little program needs to run.

If the Desktop App is installed on your laptop it will work in conjunction with the physical USB Button and it will also ensure that the software auto-runs. If you don't want to simply mirror your screen and want to show an extended desktop screen (like a 2nd monitor), you will need the Desktop App as well as the ClickShare Extension Pack

Direct HDMI Connection

Some conference rooms may have a direct connect HDMI option built into the table.  This is probably the most sure fire way to connect without any special software whatsoever.  This is a great option for guests but is not going to be an option in all rooms.

Use the [Windows-Key] plus [P] to bring up options to switch between mirrored or extended screen modes.

Connecting via your iPhone or iPad

Simply use the Apple AirPlay (Screen Mirroring) feature on your device.  You will need to be connected to TCC-PRIV (employees) or the CUCE-GUEST network to connect. Alternatively, you can connect to the in-room ClickShare Wifi network using the password "clickshare".  No app is needed, but one is available in the app store which provides additional capabilities.

Steps

  1. Ensure you are on the correct WiFi.
  2. Depending on IOS version either swipe up from bottom or down from upper right.
  3. Tap Screen Mirroring.
  4. Select appropriate meeting room. Note – You may need to scroll the list up.

The optional ClickShare App allows you to share documents, photos, a browser session, and even live video from your camera without sharing the entire screen.  The iPad version also includes an option to Moderate ClickShare sessions.  More info on that below...

Installing and using the Desktop App

The Windows ClickShare Desktop Application allows you to connect to screens via WiFi without the need for the USB Dongle.  The app displays a virtual button on your screen that you can click on-and-off with your mouse.  Similar to the physical button, if you long-click the button, it will make you the ONLY presenter on all screens.

You can also use the physical USB button in conjunction with the Desktop App.

  1. Browse to “Clickshare.app
  2. Download desktop software then drill into ApplicationSw zip/folder.
  3. Run ClickShare_Setup.exe
  4. Grant access through the Windows Firewall if asked.

The Desktop App also includes an option to Moderate ClickShare sessions.  More info on that below...

Connecting using Window's built-in MiraCast

Windows 10 has a built-in feature (MiraCast) to wirelessly connect to compatible displays.  Some (but not all) of our ClickShare devices support MiraCast.  Currently the dual-screen units do NOT support this feature (yet.)

To use this feature, simply press the [Windows-Key] and the [K] to bring up a list of available screens.  If you see an item in the list corresponding to the room you are in then you can use this option without having to install or even run any extra software.  This is a great option for guests.  You don't even need to be on our WiFi, but you do need a laptop with Windows 10 and a compatible WiFi adapter.

Use the [Windows-Key] plus [P] to bring up options to switch between mirrored or extended screen modes.

Connecting via Chrome's built-in Cast feature

If you have the Chrome Browser on your PC you can transmit a Chrome Tab or your entire screen without any additional software.  Click the "Customize and Control" menu (3 vertical dots) which is in the upper right, just under the "X".  From that menu select "Cast..." and your PC will search for available devices.  You must be connected to Christman's WiFi or directly to the ClickShare WiFi.

You should see a list of available ClickShare devices corresponding to the room they are in.  By default it is only going to "Cast" your current browser tab.  If you want to Cast your entire desktop, click the [Sources] button and then select the "Cast desktop" option.

To stop casting, follow the same instructions to get back to the Casting options.  Click on the room where you are casting - "Stop casting" should display.  Click to stop.

Connecting via your Android phone or tablet

In order to transmit your Android device's screen you will need to download the required app.

ClickShare for Android

Allowing extended screen mode / Extension Pack

When using the ClickShare app, and/or one of the buttons, your screen will simply be mirrored by default.  If you want the ClickShare screen to act as a "second" extended monitor you will first need to install the Extension Pack.  You can download it here

Once you have the Extension Pack installed, connect to the desired ClickShare room, but don't display on the screen yet.  Click the menu button on the ClickShare Desktop App and then click the checkbox next to "Extended desktop."  Now when you press the button to start transmitting your display, it will act as a second monitor.

If you plug directly in via HTML or are using MiraCast then you don't need this software.  Simply use [Windows-Key] plus [P] to bring up options to switch between mirrored or extended screen modes.

Note - There is no Extended Screen mode via Apple Airplay or Google Cast.

Using the Moderator features

If you want to control who shows up on the screens, and which screen they show up on (in a dual screen setup), you can do that via the moderation feature.  To do this on a PC you will first need to install the Extension Pack.  You can download it here

Once you have the Extension Pack installed, connect to the desired ClickShare room, but don't display on the screen yet.  Click the menu button on the ClickShare Desktop App and then click the "Start moderation" option.   This will bring up an application that shows you small version of the screen(s).  At the bottom are people that have connected.  You can use your mouse to drag them onto a desired screen.  If you want them on both screens, repeat the process for the second screen.

Note - when someone is moderating, no one will be able to put themselves up on the screen.  When they press the button they will simply show up in the bottom source area and they must be put on a screen via the moderator.  They can press their button to remove themselves, but when they press it again, they will again need to be put on a screen via the moderator.

To manually remove someone from a screen, simply drag them from a monitor back down to the source area.

iPad Moderation

You can also moderate via an iPad.  You must install the ClickShare Apple App
It works similar to the Desktop App, but you drag and drop via your finger instead of the mouse.

Using with Lifesize or BlueJeans

Check the room documentation to see if the ClickShare device is integrated with the in-room Lifesize unit.  If it is, you can share your screen via ClickShare and send it through the Lifesize during a BlueJeans video conference.  You will also have to start the "presentation" on the Lifesize unit for remote people to see the screen.
