How do I keep a sender from going to Junk E-mail?
As spammers have gotten more sophisticated, anti-spam software has had to do the same. Despite the best efforts of software developers, some spam will get delivered and some legitimate emails (or "ham") will get junked.
Unlike our old Barracuda system, emails classified as spam will still be delivered to your mailbox, but placed in the Junk E-mail folder. You can view the contents of this folder at any time, either in Outlook or on your mobile device.
In the event that a legitimate email goes to Junk E-mail, you can do the following to both move it back to your Inbox and prevent it from going there again at the same time.
In the New Outlook:
- Locate the email in your Junk Email folder.
Drag the item to your Inbox, or right-click on the item and select Move -> Inbox.
You'll be asked if you want to ensure that sender is never sent to the Junk folder again. If this is what you want, leave the box checked and click OK. If this is a one-time thing where you want to move the item out of Junk, uncheck the box and click OK.
The item will be moved out of your Junk Email folder and placed in your Inbox, and if you left the box checked the sender will be added to your Safe Senders list. It will not move all items from this sender, only the one you selected. If there are other emails from that sender, you will need to move them separately (and can uncheck the box if you already added them to Safe Senders).
In Classic Outlook:
- Locate the email in your Junk Email folder.
Right-click on the email and select Junk -> Not Junk.
Make sure the box is checked to always trust email from the sender. BONUS: If there were other recipients in the email, you'll also see boxes you can check to always trust those emails, as well!
The email will be moved to your Inbox folder and the sender(s) will be added to your Safe Senders. It will not move all items from this sender, only the one you selected. If there are other emails from that sender, you will need to move them separately (and can uncheck the box if you already added them to Safe Senders).
Modifying Safe Senders Directly
In the event you've already moved an item out of Junk, or if you want to add all senders at an organization to your Safe Senders list, you can add/remove entries directly.
In the New Outlook:
- Click on the gear icon in the upper-right corner of Outlook to open the Settings.
In the Settings, navigate to Mail -> Junk email. You should see Senders listed near the bottom.
- Click Add safe sender.
You can either add a single email address, or you can add the entire email domain (whatever is after the @ in the email address). Doing the latter will add any senders at that organization to your Safe Senders (rather than you having to add them here and there as needed).
- Once you've added the address, click OK and that sender (or organization) should not go to Junk again.
In Classic Outlook:
- On the Home tab in Outlook click on Junk --> Junk E-mail Options.
- You can then click on the Safe Senders tab, click the Add button.
You can either add a single email address, or you can add the entire email domain (everything from the @ sign and to the right of it). Doing the latter will add any senders at that organization to your Safe Senders (rather than you having to add them here and there as needed).
- Once you've added the address, click OK and that sender (or organization) should not go to Junk again.
