How do I change the information in my signature?
If you need to change the following information, please contact HR:
- Your Display Name (as it appears in the Outlook Address Book).
- Your Job Title.
- Your Company Name.
- The Street, City, State, and ZIP of your primary office location.
In the event that the information can't or won't be changed, please contact the helpdesk.
There are some aspects of your information that you can choose to add or remove from your signature. The place to do this is the User Details Editor in Exclaimer, which can be found at https://us.details.exclaimer.net.
Log into this site with your Christman Microsoft account. Once logged in you'll see a number of fields, most of which are grayed out, and you'll see that most of them are empty, which is normal (it will get pulled into your signature regardless). Just make the changes, then click the SAVE CHANGES button in the upper-right.
There are a few fields however that are available to you:
Display_Mobile_Number: If your mobile number is present in your account, placing an X in this box will add it to your signature (for both new messages and replies). DO NOT TYPE YOUR PHONE NUMBER IN THIS FIELD.
To see if your mobile number is in your account, scroll down the page until you see the Mobile Number field. Whatever is in that field will be added to your email signature if you put an X in the Display_Mobile_Number field.. If the Mobile Number field is empty, please contact HR to get your mobile number added into Vista. Once it's been added and you can see the number in this field, then you can opt in to having it in your email signature by putting an X in the Display_Mobile_Number field. Clearing out this field will remove the mobile number from the signatures. Opting into/out of displaying your mobile number will affect all of your signatures for both New Messages and replies/forwards.
This user does not have a Mobile Number in their user account, so putting an X in the Display_Mobile_Number field will not display anything in their signature. - Display_Direct_Dial: If you have a direct dial number to your IP phone or 3CX app and it's present in your account, placing an X in this box will add it to your signature for new messages. To see if the number is in your account, scroll down the page until you see the Telephone Number field. If the field is empty, please put in a helpdesk ticket. Once it's been added and you can see the number in this field, then you can opt in to having it in your email signature by putting an X in the Display_Direct_Dial field. Clearing this field will remove the number from your signature.
Hide_Office_Number: By default, all signatures will have the main phone number for the office you've been assigned to in Vista. If you would rather this number not be listed (for example you'd rather just your direct dial and/or cell phone number be listed), placing an X in this field will opt out of displaying this number in your signature. Please note that this is only for displaying the main line of your home office; if you have a jobsite signature with its own phone number listed, that will still be displayed.
With the above, my signature will only display my direct dial IP phone number. Neither the Lansing office main number nor my mobile number will be displayed.
In addition to the content in the User Details Editor, you can also have the following added to your signature:
- Certifications: If you have certifications, please put in a helpdesk ticket and ask them to be added. Please include any requirements for how the certification should be displayed (if applicable). Once added, they'll displayed after your name in the signature.
- Calendar Booking Links: If you use Microsoft Bookings, you can include a Book time to meet with me link in your signature. Simply contact the helpdesk and provide the link to your bookings page and we'll add it to your signature.
