How to Modify--or Remove--Access to Shared OneDrive Files or Folders
So you shared some files on OneDrive instead of using email. Good for you! You're one of my favorite people!
But...maybe you did it months ago, and you don't want that link to still be active. Or maybe you know one or more of the folks you shared it with have left their company. Asking these questions is good, and makes you even one of my MOST favorite people! So what do you do?
Removing all access
- Go to your OneDrive on the web: https://christmanco-my.sharepoint.com.
You can look through your folders and it will show you if they're shared, and when they were shared.
The following is actually what happened when I went to get screenshots for this walkthrough. Oh, man... early 2023? I'd better take a look at that by right-clicking on the folder and selecting Manage access.
Ok, I only see me listed , so it doesn't look like it's shared with anyone external, and I also don't see anything on the Groups tab. I'll click on the Links tab.
- Ok, I remember now. This was set up so anyone I gave the link to could upload files to the location, but could not view or download them. Whew!
At any rate, I've decided I no longer need this link to be active, so I'll click on the trash can to the right of the link to remove it.
I'm prompted that this will make this link inactive—anyone I've sent it to in the past that tries to use it will get an error. I click Remove.
- There is no longer a share link to my folder. If I wanted to create a new link, I can click the option to do so (this is handy in case you think some people had the link that shouldn't, as you can delete the link and create a new one, then give that out to the folks who still need access).
Changing access
In your OneDrive on the web (https://christmanco-my.sharepoint.com), locate the folder you want to modify, right-click on it and select Manage access.
If you see any users on the People tab that need to be changed (either changing the permissions, or removing the user entirely), click on the permission they have.
Drill down on this screen until you see the option to change or remove their access, and select the desired option.
- Click on the Links tab at the top.
See if there are any links you want to remove. In this example, there are two links: one for internal folks who have a link, and a link that was shared with joe.buildman@outlook.com (you can see this by clicking the arrow under People you specify can view). These are two totally different links, allowing you to remove external access without affecting internal users.
If you just want to remove one person, click the X next to them. If you want to remove a link entirely, click the trashcan next to that specific link.
This will just remove access to the link for this user.
This will remove the link, removing access from any of the users listed below the link.
